The Senior Purchasing Assistant is responsible for assisting the Purchasing Agent by overseeing the procurement and management of various goods/services and other programs and projects. Duties Include:
- Prepares Requests for Quotes, Invitations for Bids, and Requests for Proposals;
- Schedules opening dates;
- Collaborates with departments in developing specifications for bids and investigates Local, State, and Federal contract opportunities;
- Processes requisitions, assigns PO numbers, and processes purchase orders in the Purchasing Agent’s absence;
- Maintains vendor accounts and updates as needed within the County’s financial software program;
- Maintains purchasing card, vehicle leasing, and fuel card databases;
- Maintains, renews, and updates insurance packages and files and prepares a schedule of policy numbers, etc.;
- Manages the entire County land-line phone system and database, procures parts and accessories, maintains voice mail messaging and other systems and handles requests for new phone service;
- Oversees the County-wide print management plan, works with vendors, and monitors print/copy machine contracts and repair costs;
- Maintains Purchasing Department webpage;
- Assists the Purchasing Agent in managing the County fleet leasing program and equipment replacement program including titles, and coordinates sales of surplus through various platforms;
- Serves as proxy reconciler for Bank of America card transactions and tracks budget throughout the year;
- Serves as Safety Manager for the Government Office Building;
